2. Information we collect

Depending on how you interact with us, this may include:

• name, work contact details, organisation, role and correspondence;
• enquiry, proposal, contract, service, support and project information;
• billing, payment and account administration information;
• technical information needed to secure, support or manage systems and services;
• basic web-server information such as IP address, browser, requested page, date and time.

Please do not send passwords, credentials or sensitive personal information through the website enquiry form.

3. How and why we use information

We use personal information where it is necessary to:

• respond to enquiries and take steps requested before entering a contract;
• deliver, secure, support and improve contracted services;
• administer customer, supplier and commercial relationships;
• meet legal, regulatory, tax, accounting and insurance obligations;
• protect Servable, its customers and users from fraud, misuse and security threats;
• communicate relevant service information or, where permitted, information about related services.

The lawful basis will normally be contract, legitimate interests, legal obligation or consent, depending on the activity.

Editorial photographs may load directly from the Pexels image service where a local copy has not been installed. In that case, the image provider receives normal connection information such as your IP address and browser details. Localising the photographs removes this external image request.

4. Sharing and international transfers

We do not sell personal information. We may share limited information with trusted professional advisers, hosting and communications providers, security or technology suppliers, payment and accounting providers, subcontractors working under appropriate obligations, and public authorities where required by law.

Some service providers may process information outside the United Kingdom. Where this occurs, we use an appropriate transfer mechanism and contractual safeguards where required.

The contact form uses a session cookie for security. Short-lived abuse-prevention records on the web server contain a keyed identifier derived from the connection IP address and request timestamps; they do not contain enquiry text. Enquiries are sent to Servable by email rather than stored in a public website database.

5. Retention and security

Information is retained only for as long as needed for the purpose collected, contractual and support obligations, dispute handling, security, and applicable legal or accounting requirements. Customer and financial records may ordinarily be retained for up to six years after the relevant relationship ends. Shorter periods apply where the information is no longer needed.

We use proportionate technical and organisational measures, including access control, secure configuration, endpoint protection, backup and supplier controls. No online or electronic system can be guaranteed completely secure.

6. Your rights

Depending on the circumstances and applicable law, you may have rights to request access, correction, deletion, restriction, portability, objection, and withdrawal of consent. Some rights are limited where information must be retained or processed for contractual, legal, security or legitimate reasons.

We do not use the website enquiry form for solely automated decisions with legal or similarly significant effects.

8. Changes to this policy

We may update this policy when services, suppliers, legal requirements or processing activities change. The review date above will be updated when a material change is made.
